archzOS (“we”, “us”, or “our”) operates the archzOS intelligence platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our services at archzos.com and related subdomains.

By using archzOS, you agree to the practices described in this Privacy Policy. If you do not agree, please discontinue use of our services.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, password (hashed), company name, and team size. This information is required to provide the service.

Usage Data

We automatically collect information about how you interact with archzOS, including pages visited, features used, query types (not content), session duration, and error logs. This data is used solely to improve the product.

Payment Information

Payment processing is handled by our PCI-compliant payment processor (Stripe). We do not store full credit card numbers. We retain billing address and last-four card digits for receipt generation.

Organizational Data

When you connect integrations (Slack, Google Drive, GitHub, etc.), archzOS indexes the content from those sources. This data is processed in real-time for search and intelligence purposes. Critically:

  • We do not retain query content after processing
  • We do not train AI models on your organizational data
  • Index data is stored encrypted and accessible only to your workspace
  • Integration access can be revoked at any time from your settings

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the archzOS service
  • Process transactions and send billing receipts
  • Send product updates, security alerts, and support messages
  • Respond to your comments, questions, and customer service requests
  • Monitor and analyze usage patterns to improve the platform
  • Detect, prevent, and address technical issues and security incidents
  • Comply with legal obligations

We do not sell your personal data. We do not use your organizational data for advertising targeting.

3. Data Sharing and Disclosure

We share personal information in the following limited circumstances:

Service Providers

We engage third-party vendors who assist in operating our service (cloud hosting, payment processing, email delivery, analytics). These vendors process data only on our behalf under written data processing agreements and are prohibited from using your data for any other purpose.

Legal Requirements

We may disclose your information if required by law, court order, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of archzOS, our users, or others.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction. We will notify you before your data is subject to a different privacy policy.

With Your Consent

We may share your information in any other circumstances with your explicit consent.

4. Data Retention

We retain account information for as long as your account is active or as needed to provide services. Upon account deletion, we permanently delete all personal data within 30 days, except where retention is required by law.

Organizational data (integration indexes) is deleted immediately upon integration disconnection or account deletion. Query processing is stateless — no query content is retained after the response is returned.

5. Security

We implement industry-standard security measures to protect your information, including AES-256 encryption at rest, TLS 1.3 for data in transit, SOC 2 Type I certified controls, multi-factor authentication, and regular third-party penetration testing.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at security@archzos.com.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate or incomplete data
  • Erasure: Request deletion of your personal data
  • Portability: Request your data in a machine-readable format
  • Restriction: Request limitation of processing in certain circumstances
  • Objection: Object to processing based on legitimate interests
  • Withdrawal of consent: Withdraw consent where processing is based on consent

To exercise these rights, contact us at privacy@archzos.com. We will respond within 30 days. For EU/EEA residents, you also have the right to lodge a complaint with your local data protection authority.

7. Cookies

We use strictly necessary cookies for session management and authentication. We use analytics cookies (with your consent) to understand how users interact with the platform. We do not use advertising cookies.

You can control cookie preferences through the cookie consent banner on our website. Disabling analytics cookies will not affect your ability to use archzOS.

8. International Data Transfers

archzOS is headquartered in India and operates infrastructure in multiple regions. If you are located in the EU/EEA, your data may be transferred to countries outside the European Economic Area. Such transfers are subject to appropriate safeguards including Standard Contractual Clauses (SCCs) where required.

9. Children's Privacy

archzOS is not directed to children under 16 years of age. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact privacy@archzos.com.

10. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes via email or a prominent notice on our website at least 30 days before the changes take effect. Continued use of archzOS after changes become effective constitutes acceptance of the revised policy.
